ABSRS: Presenter confirmation and information

The Annual Biological Sciences Research Symposium is rapidly approaching! We are very excited to host a diversity of research presentations and posters this Friday, April 11th from 10-4.

For poster presenters, see the below assignment of location to hang your poster. These locations will be in the halls on PLSB 3rd and 4th floors. We have had a few reports of submissions not going through the google form properly (maybe a browser issue?). When submitting your abstract you should have received a confirmation email from google. If you did not receive a confirmation email and/or your name does not appear below, we do not have your submission. In this case navigate to the following spreadsheet and enter your information into the next available line. 

As you are preparing your posters for the Annual Biological Sciences Research Symposium, we’d like to share a bit more information on design and printing. 

Design: Size is flexible, with the max dimensions being 36” X 48”. Posters will be hung with tape (on glass windows) in the halls of the Physical Life Sciences Building. Posters presented at previous conferences can be used for our symposium. 

Printing posters: We have funds available if your advisor can not cover the costs of printing. If you need assistance with costs, please send your poster to Joanna Lehtinen (zgm3cr@virginia.edu) by Tuesday, April 8th at 5pm. All posters submitted will be submitted in one group by Biology Admin, so the deadline is firm. We will reach out when your posters are ready for pickup in the Biology Main Office.

For those printing on their own, there are two primary options presenters have used in the past: 1) UVA Print Shop or 2) FedEX on Barracks’ Rd. 

Submission to FedEx is online here. Generally posters have a 24-48hr turnaround, though this time varies with demand. For purchasing here you will need to use your lab’s T&E card or request reimbursement through your home department.

Submission to UVA Print Shop:

Posters are printed Tuesday to Friday 10am to 12pm.

Your printing request must be received at least two working days before you need it. 

To request a poster, send an email to uvaprint@virginia.edu and PCSWIDEFORMAT@virginia.edu. The email's subject line should be: Poster printing: request from {UVA ID}, needed by {Date and time}. 

Do not submit your poster request until your poster is finalized.

The poster's file format must be .pdf (Portable Document Format).

Attach the poster's .pdf file to the email. Do not use generic names for your file (like “poster.pdf”). Use a unique name for your file like “lastname_poster_ABSRS_Spring”.

The resolution is 300 dpi.

Day of the event: Please check-in between 9:30 and 10am outside PLSB 403. We will provide tape, location map, and any other assistance needed for hanging posters. If you can not make this time window, please drop your poster off outside PLSB 304 (Tracy’s office) anytime on Thursday or before 9am on Friday, and we will hang your poster for you.

Please stand near your poster during your assigned session, so visitors can discuss your work!

Between 4pm and 4:30, please remove your posters and any remaining tape on walls or windows. Last year, there were still many scientific discussions happening during poster removal. Please be kind (and not disruptive) if those around you are still having discussions while you are removing your poster. If posters are not removed, we will remove them and they will be stored in the Biology Office for one week (until the following Friday). Afterwards, we will throw away any remaining posters.
